ShootMedia’s website is owned and operated by ASC Media, a limited company registered in England under company number 11496513. Our registered address is 1st Floor Gallery Court, 28 Arcadia Avenue, London, N3 2FG, and our main trading address is Studio 112 -114, The Tramworks, 14 Hatherley Mews, London E17 4QP.

2. What data we collect

When you visit our website

Like many website operators, we use Google Analytics to collect information that your browser sends whenever you visit our website. This data includes information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our website that you visit, the time and date of your visit, the time spent on those pages and other statistics. In most instances, it is almost impossible for us to determine who you are from this browsing data.

You can opt out of this tracking by installing the Google Analytics opt-out browser add-on which is available at https://tools.google.com/dlpage/gaoptout/. When you visit any website that uses Google Analytics for visitor tracking, this software will stop you from being tracked. Many Internet browsers, as well as ad blocking software, will also enable you to block Google Analytics.

Like most websites, we collect information using “cookies” – small text files that are saved by your browser when you visit our website. We currently only set cookies for Google Analytics, for the purposes outlined above.

When you submit an enquiry using our contact form

If you choose to submit personal details via one of our website contact forms, the information you provide will be directly emailed to a member of our team. Your information is not shared anywhere before it is sent to our email mailbox.

When you contact us directly

If you choose to contact ShootMedia via email, phone, text, social media, post, or any other form of correspondence, we may collect any information you share with us when you do so.

3. How we use your data

Website browsing data

We will periodically examine the data collected from visitor tracking, always in an aggregate manner, to help us determine:

  • how visitors are finding out about our website
  • how visitors are using our website
  • which content or functionality is popular

Except in rare circumstances, it’s not possible for us to identify a specific individual when analysing this data.

Contact form submissions

If you submit a contact form on our website, we will use the information you give us in order to respond to your enquiry.

Unless you indicate otherwise, we won’t:

  • Add your details to any bulk marketing lists
  • Use your details to target you with advertising on other websites
  • Sell or share your information with any third parties, unless legally required to do so

If you contact ShootMedia via email, phone, text, social media, post, or any other form of correspondence, we will use the information you give us in order to respond to your enquiry. This policy applies whether you are contacting a named individual or a generic business contact (e.g. calling about new business or emailing our info mailbox).

New business enquiries may be manually entered into Capsule, our CRM software (see section 4). We use this software to maintain a record of our contact with you, including notes on conversations, in order to assist in sales and marketing.

A limited number of staff have access to our CRM system. This means that, in addition to the person who handled your initial enquiry, other staff members may also be able to view the personal data you have submitted.

If you don’t wish for us to maintain a record of your enquiry, or would prefer that we limit the processing or use of this information, please explain this when you get in contact.

Unless you indicate otherwise, we won’t:

  • Add your details to any bulk marketing lists
  • Use your details to target you with advertising on other websites
  • Sell or share your information with any third parties, unless legally required to do so

Should you later enter into a contract with us, your personal data – along with any other data provided to us – will be subject to the terms outlined in that contract.

4. Where and how we store your data

The systems and services we use

We use Google Apps to receive incoming email, including that originating from our website contact form: https://privacy.google.com/businesses/compliance/#?modal_active=none
We may also store local copies of your enquiry on computers located at our registered office.

We may also manually input website enquiries in to Capsule, our CRM software: https://capsulecrm.com/support/data-protection/

Transfer and storage outside the EEA

The data we collect from you may be stored, or transferred to, destinations outside the European Economic Area (“EEA”).

Security

We make every effort to maintain the security of any personal data you provide to us, and will strive to use commercially acceptable means of protecting your data. However, no method of transmission over the Internet, nor method of electronic storage, is 100% secure. We therefore cannot guarantee the absolute security of your personal data.

A limited number of our staff have access to our CRM software, but full administrative access is limited to one or two people. All accounts are tied to individuals, and access rights removed immediately upon cessation of their employment.

5. Accessing or requesting deletion of your data

The General Data Protection Regulations (“GDPR”) give you the right to access the information we hold about you. You can exercise these rights in accordance with the GDPR by either:

When contacting us, please provide details of the data to which you’re requesting access. We’ll comply with any requests for data which falls within the ICO’s definition of “personal data”, assuming it doesn’t infringe on another individual’s privacy.

We will not normally charge when you request access to your data. A fee may be levied in exceptional circumstances; this won’t be greater than £10, and we’ll communicate this to you before processing your request.

After reviewing the personal data we hold about you, you may wish to update some or all of this data. You can request that we amend this data through either of the contact methods listed above.

Requesting deletion of the personal data we hold about you

You can request deletion of any or all of the personal data we hold about you. Please make these requests, detailing the personal data you wish to have deleted, using either of the contact methods listed above.

Please bear in mind that there are certain instances where will be unable to delete your personal data. This includes any data required in fulfilling an ongoing service contract with you, or to comply with our legal obligations as a business.

To ensure we have a record of complying with your request, we may need to keep some anonymised data about you.
